Project Assistant

Kansas City, MO

On-Site

Compensation: $20 - $25/hr (Contract-to-Hire)


ABOUT THE ROLE

Our EPC client is seeking a detail-oriented Project Assistant to support engineering and construction projects in Kansas City, MO. This contract-to-hire position works closely with Project Managers and project teams to provide comprehensive administrative and project coordination support, maintain accurate project information, and help keep multiple project activities organized and on track. The ideal candidate is organized, proactive, comfortable managing multiple priorities, and able to communicate effectively with project teams, clients, vendors, and other stakeholders.


WHAT YOU'LL DO

  • Provide general administrative and project support for engineering and construction projects
  • Assist Project Managers and teams with project coordination and administrative needs
  • Organize and maintain project files, filing systems, documentation, and communications
  • Perform project data entry and maintain project contact lists and execution plans
  • Track project status and maintain project tracking systems
  • Prepare monthly project progress reports and update record copies, engineering project documentation, and project changes
  • Research and provide information to support project-related questions and requests
  • Record and distribute meeting minutes for Project Manager and project team meetings
  • Answer phones, direct calls, and sort/distribute incoming mail
  • Collect and distribute client bills and invoices
  • Prepare memos, correspondence, reports, and other project documents
  • Coordinate travel arrangements and other internal services to support project needs
  • Prepare outgoing mailings, labels, emails, and faxes
  • Reserve conference rooms and coordinate client, vendor, and supplier presentations, meetings, and interviews, including setup and cleanup
  • Schedule and coordinate client interviews, presentations, and other meetings
  • Order and maintain office and project supplies
  • Maintain project calendars and team rosters
  • Assist with clerical needs across projects
  • Comply with company policies, procedures, and standards
  • Perform other duties as assigned

WHAT YOU BRING

  • High school diploma or equivalent and a minimum of 3 years of office/clerical experience; OR Associate degree and 4 years of office/clerical experience; OR Bachelor's degree and 2 years of office/clerical experience
  • Some college coursework preferred
  • Advanced knowledge of Microsoft Word, Excel, Access, and PowerPoint
  • Strong organizational and attention-to-detail skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks, priorities, and deadlines in a fast-paced project environment
  • Ability to work independently, stay organized, and provide reliable support to Project Managers and project teams
  • Professional maturity, strong follow-through, and ability to balance competing tasks and deadlines
  • Background in coordination, logistics, customer-facing support, or administration is a plus
  • Self-starter, detail-oriented, and confident communicator
